This Privacy Policy explains what information NGO Proposal Copilot ("the Service"), operated by [YOUR NAME/COMPANY], collects and how it's used.

1. What we collect

  • Account information: your email address and (optionally) full name.
  • Content you upload: documents you add to a project, used to generate proposal drafts.
  • Usage data: credit consumption, project and proposal metadata (titles, timestamps).

2. How it's used

Uploaded documents are used only to generate and refine proposal content for your own account — they are not used to train any AI model, and are not shared with other users.

3. Subprocessors

To operate the Service, we use the following third-party infrastructure providers:

  • Neon — hosts the application database (accounts, projects, proposals).
  • Qdrant Cloud — hosts vector search used to retrieve relevant content from your documents.
  • Cloudflare R2 — stores uploaded document files.
  • An AI provider (Anthropic, OpenAI, or Google, depending on configuration) — processes document excerpts and your instructions to generate proposal text.

Each processes data only as needed to provide their respective service to us.

4. Your rights

You can delete individual projects (and their documents/proposals) at any time from within the app. To request full account deletion or a copy of your data, contact [YOUR CONTACT EMAIL] and we'll act on it within a reasonable time.

5. Data retention

Project workspaces are retained for a limited period and may expire automatically if inactive; you'll always be able to delete a project yourself before then.
